What does a real estate virtual assistant do?
A real estate virtual assistant can handle lead follow-up, CRM updates, listing support, appointment scheduling, marketing tasks, and transaction paperwork. Depending on the role (varies per firm or agency) and state rules, they may also respond to new inquiries, organise property research, and keep past clients engaged.
What does a real estate agent do? Today, it has to do with the things that answer “What does a real estate virtual assistant do?”
That’s not exactly a “prime location” to be in.
The housing market’s becoming more active now than ever (since 2026). And how it usually works is that it’s becoming more complicated as well. NAR (National Association of Realtors) gives this statement some solid… ground:
Existing-home inventory reached 1.62 million homes in August alone. American buyers now have 4.9 months’ worth of homes to choose from.
More homes available, hence, more choice for buyers. More properties and buyer activity for agents to manage and more admin work around each deal. Which explains why real estate agent responsibilities have joined at the closing table with back-end and administrative duties.
So then, which tasks should the real estate VA do, and why are agencies outsourcing them as fast as you can say,
“Sold!”

What Is a Real Estate Virtual Assistant?
A real estate VA takes care of work behind deals, listings, leads, and client follow-ups. Work that has to do with following up with them, scheduling them in, and moving them toward closing. Anything “leads”- related, from response to management to nurturing to sales support.
All the same, there are five areas that are usually on local or remote sales representatives’ day-to-day:
1. Lead generation and Follow up
A VA can keep an eye on the inbox, texts, and phone while the agent is at a showing, meeting a client, or sitting at a closing. Qualified prospects can then be booked into the agent’s calendar.
In real estate, this type of role is often called an inside sales agent, or ISA.
Outbound calling (outbound sales agent) can also be part of the role for agents and investors. There are tighter rules around this type of work, though. Not to mention what an unlicensed VA can do, which varies by state.
2. Listing and MLS (Multiple Listing Service) Support
Listing work can take a fair amount of an agent’s time, especially when several properties are moving at once. A virtaul assistant for real estate agents can handle tasks such as:
- MLS entries with property details, photos, and virtual tour links
- Listing descriptions and flyers, prepared for the agent to review and approve
- Showing schedules and bookings for photographers, inspectors, and lockbox or sign vendors
3. Contract to Close
Once an offer’s accepted, there are dates to watch. The VA, often working as a transaction coordinator or TC, can open the file in Dotloop or SkySlope, keep track of contingency deadlines, collect signatures, and coordinate the paperwork between the title company, lender, and inspector.
State guidance sprinkles breadcrumb trails for where an unlicensed assistant can assist:
- New York’s Department of State: assembling closing documents and following up on loan commitments among the tasks an unlicensed assistant may perform.
- South Carolina REALTORS: uploading documents to Dotloop or DocuSign and scheduling inspections and closing times.
“Cold” and “new inquiries” are almost synonymous. Almost. You know that new inquiries don’t take much to drop off. Harvard Business Review’s study gave it a number after collecting data from 2, 241 US companies:
Did You Know?
A web lead contacted within an hour is more likely to qualify than waiting after that first hour. 7x more likely.
Everything goes cold and is lost to the abyss of online leads once the clock strikes past that hour.
4. After Closing and Database Organization
A VA can log calls and notes in the CRM, organise contacts by stage or source, remove duplicate records, build drip email and text sequences, and send review or referral requests after closing. All these happen even after the relationship with a client comes to a close.
Important must-dos for potential follow-ups.
5. Admin and Marketing Support

Can a Real Estate Virtual Assistant Work Without a License?
When the work’s well within administrative and clerical duties, that’s a yes. Real estate licensing rules are set at the state level. Showing property, negotiating terms, explaining contracts, and other such activities – these are for local licensed professionals.
Some states put limits on lead solicitation and open houses. Check your state’s rules and define the boundaries and the task list before work takes off.
What Are Tasks a Virtual Assistant for Real Estate Can Do Without a License:
(South Carolina REALTORS on S.C. Code § 40-57-135, the New York Department of State, and NAR’s state-by-state guide to unlicensed assistants)
Outbound calling has to be checked separately because rules vary state to state.
South Carolina bars unlicensed assistants from this type of solicitation, while New York permits them to make phone appointments for the licensee. Federal telemarketing rules can apply.
For calls covered by the federal rules, take note of the following:
- The National Do Not Call Registry restricts calls to registered numbers unless an exception (perhaps an established business relationship) applies; The FTC defines that relationship around a purchase within the past 18 months or an inquiry within the past three months.
- Calls are permitted between 8 a.m. and 9 p.m. in the recipient’s time zone.
- Calling lists must be checked against the registry at least every 31 days.
Real Estate Virtual Assistants by Business Model
Agents and brokers
For agents and brokers, a VA can take care of listing preparation, MLS entries, showing schedules, transaction files, and follow-up with past clients and sphere contacts.
The agent remains responsible for the licensed side of the work, so the VA’s duties need to stay within the rules that apply to unlicensed assistants in their state.
Investors and wholesalers
For investors and wholesalers, the work gets the ball rolling with building a useful prospect list. That can mean pulling owner information and comparable property data from tools like PropStream or BatchData, then sorting skip-trace results (finding contact details of owners worth approaching) for follow-up.
Phone outreach to sellers brings the same Do Not Call considerations covered above. Wholesaling itself also has rules that vary from one state to another, so the VA’s responsibilities need to be defined accordingly.
Property management assistants have a different workload. Their tasks can include tenant screening, maintenance requests, lease renewals, and rent tracking.
What Tools Do Real Estate Virtual Assistants Use?
Follow Up Boss handles CRM and lead follow-up (transaction management not included). Teams using it therefore pair it with a transaction platform such as Dotloop or SkySlope.

The easiest approach is to hire with a focus on your business’s systems. Prioritize virtual real estate agents who’ve named them on your resume, then get a sense of how well they’ve utilized it during the interview.
How Much Does a Real Estate Virtual Assistant Cost?
For basic comparison, and for this article’s context, let’s use these two considerations: what an in-house administrative assistant costs in the US and what one provider lists for a dedicated full-time remote VA.
For a ballpark closer to your own numbers, use our Outsourcing Calculator Tool.
MyOutDesk lists its rate at $12 an hour (160 hours a month). Wishup lists a full-time plan at $1,999 a month; close to the same range. More specialised VA roles can cost more, with one 2026 comparison putting them at $2,500 a month.
Software costs – CRM and dialer subscriptions – apply separately regardless of where the VA works.
Limits to this comparison: The BLS figure covers general administrative assistants across industries, while the remote figures are from individual providers and reflect their published rates. Useful for getting a sense of the numbers, but they aren’t a like-for-like salary comparison.
How to Onboard and Manage a Real Estate Virtual Assistant
Does your company have its own training manual? Skip it on day one, whether we’re talking about a giant book of SOPs or something more pamphlet-type. Instead, apply these three steps:
- Record the routine. Use Loom or a similar screen-recording tool to capture recurring tasks such as entering a listing, opening a transaction file, or logging a lead. The VA can replay the recording when the same task appears instead of stopping the agent for instructions each time.
- Track three numbers (weekly). First response time for new inquiries. Number of contacts logged in the CRM. Take a look at completed files or listings.
The HBR (Harvard Business Review) study used the one-hour response mark when comparing faster and slower lead follow-up, making it a useful starting point for your own tracking.
- Set access by role. Password managers (sounds too simple, but this is the security measure to take) are helpful as much as they’re practical. For shared credentials, use 1Password and similar tools. Your VA, local or outsourced, only really needs CRM permissions for their assigned work.
When the engagement ends or their role changes within the team, remove access to the ones they’ll no longer be handling.
Finding Your Real Estate VAs Shouldn’t Be Difficult
It’s a very popular phrase: “real estate virtual assistant.” Being in the real estate space, you’ve probably heard it many times before. But finding the right ones for your business isn’t easy. There are too many job ads and boards and websites, and hundreds to thousands of candidates to sort through.
What if you skip the ones who’re actually the best fit for your team? How do you verify the credentials of candidates outside the United States?
That’s our cue. Remote Staff has been pairing real estate firms and agencies with experienced real estate vas and admin support for over 18 years. We do the candidate search down to the vetting, matching experience and knowledge to what your business requires.

FAQs
What’s the difference between a real estate virtual assistant vs ISA vs transaction coordinator?
An ISA, or inside sales agent, focuses on calls and texts that turn inquiries into appointments. Some ISAs are licensed. A transaction coordinator handles the file after an offer is accepted and keeps the transaction moving toward closing. Real estate virtual assistants are remote hires whose responsibilities you define. Depending on the person’s training and your state’s rules, that could include lead follow-up, listing entries, CRM work, and transaction paperwork.
How do you hire a real estate virtual assistant?
Start with the work itself. Write down the tasks you want covered and the number of hours you expect each week. That will help you decide whether you need a part-time freelancer or someone working full time.
From there, you can look at a marketplace or work with an agency that screens candidates and handles payroll. Give serious candidates a small paid trial using a task from your actual workflow, such as entering a listing or logging a batch of leads into your CRM.
Can a real estate virtual assistant make cold calls?
It depends on the state and what the calls are for. South Carolina bars unlicensed assistants from soliciting business by phone, while New York permits them to book appointments for the licensee. Where calling is permitted, federal Do Not Call rules still apply.
If your state restricts this work, the VA can still build and organise the call list, and log results while the licensed agent handles the calls.
Do offshore real estate virtual assistants speak fluent English?
English ability varies from person to person, so a national ranking can only give you part of the picture. The Philippines scored 569 on the 2025 EF English Proficiency Index, ranking 28th out of 123 countries against a global average of 488. Speaking was the country’s lowest-scoring skill at 539.
A recorded call sample or a short mock call can tell you much more about how clearly the person communicates with clients and leads.
Is a real estate virtual assistant worth it?
At a published rate of about $12 an hour, a full-time VA works out to roughly $23,900 a year. If the VA handles recurring administrative and follow-up work while the agent spends those hours on clients, listings, negotiations, and revenue-generating activity, the numbers can be worth examining.
Besides the rate itself, the valuable thing to note is how many tasks and work hours are taken off your local agents’ calendars and enable them to do more of what aligns with their roles.
