The Real Cost of Hiring a VA: What Salary Tables Won’t Tell You (+ Free Calculator)

You’ve been planning to hire, and you’ve been running the rough numbers in your head. You’ve Googled salary ranges, skimmed a few tables, and come away with a figure that feels about right.

You try to calculate outsourcing cost US websites recommend. But what you’re about to find out is that the real costs start showing up in your own time, and disappear into tasks you shouldn’t be doing, along with benefit obligations you hadn’t fully priced in. There are also a few hires that looked affordable on paper until you added everything else up. Those aren’t mentioned in the pages you saw online.

Salary data from Glassdoor, Upwork, or Indeed gives you a starting point. It doesn’t give you a budget. Averages don’t know your business model. They have no microscoping view of your headcount plans or which hiring structure fits your situation.

Here’s how to calculate what a virtual assistant engagement will cost your business, specific to your revenue, your hours, and your goals. There’s a free outsourcing calculator at the end if you’d rather skip the manual math.

How to Calculate Outsourcing Cost US: Before You Price a VA, Price Your Own Time

What’s the first number most business owners look for when researching virtual assistant costs?

The VA’s hourly rate (virtual assistant hourly rate).

And that’s the wrong place to start when it comes to answering how to calculate hiring costs.

Your time has a dollar value, too. If you’re spending hours each week on work that belongs in someone else’s job description, that cost is already running. It just doesn’t show up on an invoice.

This is what we call the “cost of wrong work.” It’s the dollar value of time you’re spending on tasks that a trained specialist could handle, while your business strategy sits waiting.

How to Calculate Your Effective Hourly Rate

The formula is simple:

Your Effective Hourly Rate = Annual Revenue (or personal draw) ÷ 2,080

Monthly Cost of Wrong Work = Effective Hourly Rate × Weekly Delegation Hours × 4

Note: 2,080 = 52 weeks × 40 hours. Use this as your denominator regardless of how many hours you actually work. It keeps the math conservative. “Annual revenue or personal draw” means either your business’s total income for the year, or the amount you personally take from it.

What To Do: Pull up last year’s revenue or personal draw figure. Divide it by 2,080. Write that number down. You’ll need it for the next steps.

Illustration: Timothy runs a digital agency in Austin. He’s spending 30+ hours a week on inbox management, client scheduling, invoice follow-ups, and basic reporting, work he knows belongs elsewhere, but hasn’t handed off yet. His annual draw is $192,400, which puts his effective hourly rate at $92.50. At 30 hours of delegatable work per week, that’s $11,100 a month he’s spending on tasks that aren’t moving his business forward. His goals haven’t shifted in months.

Why “Cheap” Local Hires Aren’t Always the Better Option

Thinking to hire remote workers? Let’s put is this way: most US business owners look at the base salary on a job posting and treat it as the full cost. That’s where the miscalculation starts.

When you hire someone full-time, the advertised salary is only part of what you pay. On top of that comes Social Security, Medicare, health insurance, paid time off, workers’ compensation, equipment, software licenses, and four to eight weeks of onboarding before the person is fully productive.

That $45,000 salary lands closer to $60,000 to $65,000 in year one, before the first fully productive month.

True Cost of a Full-Time Local Admin Hire (Year One):

Cost Item
US Local Admin Hire
Base Salary
$45,000
Employer FICA (7.65%)
$3,443
Health Insurance (avg. employer share)
$7,500–$9,000
Paid Time Off (10 days avg.)
~$1,731
Workers’ Compensation
$300–$900
Equipment + Software Licenses
$2,000–$4,000
Onboarding Downtime (4–6 weeks)
Real cost — not yet counted
Year-One Total (conservative)
$60,000–$65,000+

What To Do: Use this table as your comparison baseline whenever you’re evaluating a virtual assistant rate, for going over outsourcing vs in-house hiring. The number you’ll see from any offshore provider needs to be measured against what a local hire actually costs.

Now that you know what you’re comparing against, here’s how to calculate what a VA engagement will specifically cost your business.

How to Calculate Your Virtual Assistant Cost: 4-Step Formula for Calculating Outsourcing Cost

No ballpark estimates here for virtual assistant pricing. This section walks through your actual numbers.

#1. Lock In Your Effective Hourly Rate

You ran this above. If you skipped it, go back and do it now. It’s the foundation for every other calculation in this section.

What To Do: Annual revenue or personal draw ÷ 2,080 = your effective hourly rate. If you already have the number, move to step 2.

#2. Build Your Delegation Inventory

Track one full week of your tasks. Split them into two categories:

  • Work only you can do: strategy, key decisions, client relationships, revenue generation
  • Work a trained person could handle with clear instructions

The total weekly hours in the second column is your “delegation inventory.”

What To Do: If your delegation inventory is under 8 hours a week, a part-time hire makes sense. Above 15 hours, full-time offshore hiring is the right move for dedicated virtual assistant pricing. Above 20 hours, and you’ve been subsidizing your own bottleneck.

Illustration: Dana runs a Nashville-based direct-to-consumer home goods brand. Her one-week audit put 16 hours in the delegatable column: customer service emails, order tracking queries, supplier follow-ups, and social scheduling. At her $78 effective hourly rate, that’s $2,868 a month she’s spending on work she could hand off. Her full-time Filipino VA through a managed provider costs $1,500 a month. Before counting a single dollar of new revenue from the 16 hours she reclaimed, she’s $1,368 ahead each month.

#3. Calculate the True Monthly Outsourced Employee Cost

The VA’s hourly rate is not your total cost. Add all four of these:

  • VA base rate: VA base rate
  • Agency or management fee: Agency or management fee (with managed providers, this is usually built into the rate; with freelance platforms, it’s added on top)
  • Your oversight hours: Your oversight hours: budget 2 to 3 hours per week in months one and two for onboarding, feedback, and calibration; this has a dollar value at your effective hourly rate
  • Tool access: Tool access: Slack, project management software, shared licenses

The total of all four is your real monthly VA cost.

What To Do: Compare your real monthly VA cost against the local hire table above. The difference is either your savings, or budget space for another specialist as your business grows. For current rate ranges by VA type and experience level, see our 2026 VA salary benchmarks.

#4. Run Your ROI

Follow this formula:

Net Monthly Gain = (Your Effective Hourly Rate × Weekly Delegation Hours × 4) − Total Monthly VA Cost

A positive result means hiring offshore is financially sound. A net monthly gain above $1,000 means the delay is costing you money.

What To Do: If your net gain is under $500, review your delegation inventory. You may not have enough repeatable weekly tasks yet. Above $1,000, and every month you wait is that amount left on the table.

Illustration: Timothy. 11 delegation hours × $92.50 × 4 weeks = $4,070 in recovered time value per month. His VA through Remote Staff costs $1,200 all-in. Net monthly gain: $2,870. That’s before counting any new revenue from the 11 hours he got back.

Which Hiring Model Is Right for You for Remote Staffing Costs?

Freelance Platforms (Upwork, Fiverr, etc.)

The lowest apparent rate: emphasis on “apparent.” Vetting, time tracking, onboarding, and replacement if things go wrong all land on you. Those are management hours with a dollar value, and they add to your actual cost more than most business owners account for upfront.

Direct Hire (No Intermediary)

Lower ongoing cost once the hire is placed, but more of your time upfront. No support structure if the person leaves or underperforms. There’s also contractor misclassification risk if the working arrangement isn’t structured carefully. Talk to your accountant before going this route.

Managed Provider or Outsourcing Agency

The rate is higher than raw freelancing. What you’re paying for is candidate vetting, HR support, payroll handling, and replacement coverage, along with compliance with Philippine labor laws. When you factor in the cost of a bad hire, the hours spent re-hiring, and the time lost in between, paying more upfront tends to be the cheaper option over 12 months.

What To Do: If your calendar is full,  which is likely why you’re reading this, the managed provider model is the practical choice. A reliable agency also gives you access to a broader range of specialist roles as your business scales.

Where Remote Staff Fits In

Remote Staff has been matching US business owners with a distributed workforce of Filipino professionals for over 18 years. We don’t hand you a loose hourly rate and a stranger. We match based on your role, your business model, and the working arrangement that suits you: full-time or part-time.

Payroll administration, onboarding, and HR are handled on our end. The only real difference between a US-based hire and a Remote Staff-placed Filipino professional, asd well as local cost vs Philippines outsourcing cost, is labor market geography, a cost-of-living difference, not a capability one.

FAQs About How to Calculate Outsourcing Cost

How much does a virtual assistant cost per month? (How to price VA services?)

A full-time Filipino VA through a managed provider typically runs $800 to $2,000 per month, depending on the role and experience level. A US-based VA costs $3,000 to $7,500 per month before factoring in supervision time, platform fees, and benefits.

Is the $6/hour VA rate real, and is it worth it?

Yes, the rate is real. However, there’s a disclaimer, or more like precaution that comes with it: an unvetted freelancer at $6 per hour with no documented track record often costs more in corrections, redone work, and rehiring than a vetted specialist at $10 to $12 per hour who can either hit the ground running or be trained effectively from day one.

Do I owe US payroll taxes on a Filipino VA?

If you hire through a managed provider, payroll and compliance are structured through the provider and don’t land directly on you. If you hire an independent contractor directly, there’s generally no US payroll tax obligation, but contractor classification rules may apply. Confirm your specific structure with your accountant before setting up the engagement.

How many hours a day do Filipino virtual assistants work?

Standard engagements are eight hours a day, five days a week. Most US businesses that start with a part-time hire convert to full-time once they see the output and realize they have more delegatable work than they initially mapped. If your delegation inventory is genuinely small, part-time works fine.

How quickly does ROI show up after hiring a VA?

Businesses with documented, repeatable tasks typically see positive ROI within 60 to 90 days. Businesses that hire before documenting their processes take a full quarter or longer. The work before the hire, building your delegation inventory and writing clear task instructions, is what determines how fast the return comes.

Online Salary Figures Don’t Tell You Your Total Remote Hiring Cost

The salary figures you’ll find on job boards and pay portals are a starting point, not a plan. They’re population averages, and have no insight into what your business generates, how many hours you’re spending on the wrong work, or which hiring structure fits your situation.

Do the calculations with your own numbers using our outsourcing cost calculator. You have the formulas. Run them against what the Remote Staff calculator produces. That confusion between what you’re spending now and what an outsourced specialist would cost is usually larger than most business owners expect. And it tends to get more expensive the longer the decision sits.

The right hire doesn’t just save money. It gives you back the hours your business actually needs from you.
